Add the AI systems you use

Your register is the list of AI tools your company uses and what you use them for. You build it with a short two-step wizard, and it takes a few minutes.

Adding systems, step by step

  1. 1
    Open the add-systems wizard

From the Risk register or the Dashboard, click Add systems in the top right.

The Risk register header. Add systems is top right; Export PDF sits beside it once you have systems.
  2. 2
    Pick the tools you use

Search the library and tick the tools your team uses. Anything not listed, you type in by name. Recognised tools come with a suggested classification already attached.

Step one of two. Tick what you use, or add a custom tool at the bottom.
  3. 3
Say what you use each one for

For each tool, tick the uses that apply. This is the step that sets the risk tier, so be honest about what the tool actually does in your business.

Step two. The uses you tick decide whether a tool is minimal, limited, or high-risk.
  4. 4
    Add to workspace

The systems land in your register, each with a tier and the reasoning behind it. High-risk results wait for you to confirm them.

Why the use matters more than the tool

The same tool can be different tiers depending on what you do with it. ChatGPT used to draft internal emails is minimal-risk. The same account used to screen job applicants is a high-risk use under the Act. Veillo classifies the use, not the logo, which is why the second step asks what each tool is for. More on this in how Veillo classifies a system.

Let Veillo find them for you
On the Business plan and up, auto-discovery connects to Google Workspace, Microsoft Entra, Okta, or an expense tool and surfaces the AI your team already signed up for, so you are not relying on memory. It is in private beta.

What happens after you add them

Your register drives the rest of the product. The Compliance Roadmap works out which duties apply from what is in it, and the documents you generate pull in the systems by name. If a tool you use is not in the library, see a tool I use is not in the library.
